We are seeking a highly organised Senior Administrator - Special Projects to support the planning and coordination of a major international observer program. Reporting to the Chief Corporate Services Officer, this role is responsible for the end-to-end logistics, planning, and coordination of travel, accommodation, accreditation, transport, and scheduling for a high-profile delegation. This is a contract position (3-6 months) based in the CBD, working part-time (2 days per week), with the possibility of increasing days over time. There is a strong likelihood of extension. Key Responsibilities: Track, review, and coordinate responses to program materials and requirements from international organising committees. Develop and maintain registers, records, and a dedicated SharePoint site for program planning and coordination. Organise all travel logistics, including flights, visas, accommodation, and transportation, ensuring compliance with policies and budgets. Provide regular reports, updates, and briefings to internal stakeholders. Coordinate pre-departure briefing sessions for the delegation and key stakeholders. Build and maintain relationships with key external stakeholders, including government bodies and event organisers. About You: You are a proactive and detail-oriented professional with strong administrative and coordination skills. You thrive in a fast-paced environment and are comfortable managing multiple priorities with diplomacy and discretion. Proven experience in large-scale event or conference planning, particularly on an international level. Exceptional organisational and multitasking abilities. Strong communication and interpersonal skills. Ability to work under pressure and adapt to change with resilience. Proficiency in Microsoft Office Suite (experience with SharePoint lists is desirable but not essential).
