Our expansive operations in WA, Queensland and Victoria provide numerous products and services, including chemical manufacturing, tank terminals and transport, to a variety of clients across the region. Our Major Projects team is seeking a dynamic and proactive Project Administrator who thrives in a fast paced collaborative environment and is passionate about driving success and achieving results. Key responsibilities Create and maintain project files and tracking records, including team time reporting, safety inductions and hazards reporting, financial records, and summary spreadsheets as required. Provide general office administration, including maintenance requests, ordering of stationery and consumables, catering for workshops, and maintaining kitchen and coffee machine facilities. Assist with scheduling meetings and taking minutes. Support team onboarding and training, including arranging necessary inductions and IT equipment. Assist with the development and implementation of new project systems and procedures. Maintain the standards library and process requests for new standards. Provide timely cost reporting of projects within the agreed system. Create purchase orders and receipts and arrange for timely payment of invoices. Reconcile all actual payments with project cost reporting monthly. Be responsible for the setup of new suppliers within the procurement system. Ensure project documentation is maintained in accordance with the agreed numbering and naming philosophy within the document management system. Ensure the use of the agreed document management system by all team members and provide training as required. What we're looking for: Minimum five years of direct experience in Document and Cost Control within an administrative role in a fast paced project setting. Exceptional verbal and written communication skills, with a proven ability to interact effectively with peers and leadership across various departments. Proficient in document and cost control, with the ability to enter data accurately and efficiently. Skilled in the use of Microsoft products, Autodesk, Aconex, InEight, Teambinder or similar. Demonstrated ability to maintain complete and accurate records with meticulous attention to detail. Strong time management and workflow efficiency skills, including the ability to plan, organize, and follow through on tasks. Proactive and capable of working independently with minimal supervision. High level of organizational and administrative proficiency. Ability to manage multiple projects simultaneously while balancing conflicting priorities and requests. Proven ability to quickly learn and adapt to new skills and knowledge. Self-motivated, with a strong ability to initiate and follow through on assignments.
