The Personal Assistant & Property Coordinator provides high-level administrative support to the CEO while managing Carbiz properties across Australia. This dual-role involves handling the CEO’s schedule, travel, correspondence, and office coordination while also overseeing property leases, maintenance, compliance, and contractor relationships. The ideal candidate is highly organised, detail-oriented, and capable of balancing multiple priorities to ensure seamless operations and strategic support. The objective is to provide seamless executive support to the CEO while ensuring the effective management and maintenance of Carbiz properties, enabling operational efficiency and strategic focus. About the Role: Responsibilities may include, but not limited to: Coordination and preparation of Board and Financial papers ready for presentation to the Board. Prepare presentations as required for different audiences. Coordinate and manage travel arrangements for internal staff, including booking flights, accommodations, and transportation. Manage the CEO’s diary and calendar, scheduling meetings, appointments, and personal and professional engagements. Screen and manage phone calls, emails, and other correspondence on behalf of the CEO. Handle various administrative tasks such as ordering supplies, managing fleet and stock coordination. Manage personal tasks and errands as requested, ensuring a balance between professional and personal responsibilities. Act as the primary contact for landlords, ensuring compliance and issue resolution. Manage property records, leases, and maintenance requests across Australia. Oversee leasing administration, repairs, and contractor relationships. Prepare and distribute property management reports, budgets, and financial statements. Ensure compliance with local, state, and federal property management laws and regulations. About You: Proven experience in property management, Personal Assistant, Executive Assistant or similar role (essential). Bachelor’s degree in Business Administration, Property Management, or a related field (desirable). Proven experience in the coordination of Board and Financial pack presentation (desirable). Ability to manage sensitive information with the highest degree of confidentiality (essential). Valid driver’s license and ability to run errands as needed (essential). Financial acumen with the ability to manage budgets effectively. Strong interpersonal skills and ability to work effectively with senior executives and internal staffs. #J-18808-Ljbffr
