THE ROLE: Position Overview: The Program Finance Coordinator is responsible for supporting the planning, implementation, and evaluation of financial operations across both international (Overseas Aid and International Church Planting) and national (Indigenous Ministries) programs. This role ensures that project finances are accurately tracked, monitored, and reported, collaborating closely with partnership teams and other departments to maintain financial sustainability and alignment with the organization’s objectives. The position is key to upholding financial transparency, integrity, and resource efficiency, particularly in the delivery of overseas aid and development programs. Reports to: Chief Financial Officer Team: Operations Team Nature of Appointment: 0.6FTE (Over 3-4 days) Workplace: Hybrid (can be based in either VIC, NSW or SA) Key Responsibilities: 1. Financial Planning & Budgeting: Support the CFO in preparing project and program budgets, ensuring they align with financial objectives and available resources. Collaborate closely with the CFO and Partnership Team to provide strategic financial input during the planning and budgeting stages. Monitor and evaluate program expenses to ensure adherence to budgetary guidelines, making approved adjustments as necessary to maintain financial control. 2. Payment Processing & Financial Transactions: Review and verify payment requests from the Partnership Team, ensuring proper documentation and alignment with budget allocations. Ensure timely processing of partner payments, adhering to the partner payment process, while maintaining accuracy and compliance with financial policies and partnership agreements. Perform quarterly project acquittals, collecting required information from the partnership team. Monitor and reconcile expenditures, including program costs and overheads, ensuring proper documentation and accuracy. Assist the CFO in preparing detailed financial reports, including variance analyses, cash flow statements, and forecasts, for both internal and external stakeholders. Support the CFO during audits and financial reviews by providing necessary documentation and reports. Collaborate with the financial accounting team in accurately completing month-end procedures, including project cost allocations and reconciliations. 3. Compliance & Financial Control: Ensure all program and project activities adhere to organizational financial policies, grant agreements (e.g., ANCP Funding), partnership agreements, and donor requirements. Support the CFO in reviewing contracts and agreements to ensure compliance with financial terms and conditions. Maintain up-to-date knowledge of relevant financial regulations and reporting standards. 4. Support to Partnership Team: Support the CFO in providing financial support to the Partnership Team, ensuring efficient management of the financial aspects of programs and projects. Help the CFO address financial inquiries from the Partnership Team, ensuring clear communication and timely resolution. Collaborate with the partnership team to strengthen local partnerships and relationships. 5. Data Management & Documentation: Maintain accurate and organised financial records and files for auditing and reference purposes. Ensure timely and accurate entry of financial data into the organisation's financial management systems. 6. Other Duties As Assigned: Perform additional tasks as required to support the successful implementation and management of program and project finances. Delegation and Authority: Reporting signed off by Chief Financial Officer. Authorisation of payments as agreed with the CFO. Professional Development: GMP is committed to the development of its staff; Plan developed, implemented and reviewed annually. Remuneration and Review Conditions: According to the policies of GMP and the relevant Fair Work Australia requirements. Qualification, Experience and Skills: Tertiary qualifications in Accounting and Finance. 5+ years’ proven experience in financial coordination, project/program finance, accounting and finance roles. Experience with financial reporting, budgeting and project management in a non-profit or international development context preferred. Experience with DFAT Accreditation and RDE calculations advantageous. Proficiency in XERO accounting software. Excellent organisational and time management skills. Strong communication and interpersonal skills, with the ability to work collaboratively in a team environment. Attention to details and accuracy. Adaptable and flexible, driving and responding to change. Ability to work under pressure and manage multiple tasks and priorities. Compliance with the GMP code of conduct. Commitment to work according to the Christian mission, vision and values of GMP. At the time of application, the successful applicant will already have the legal right to live and work in Australia.
