ABOUT THE ROLE: Location: Essendon Fields and Melbourne Central, one day WFH Full Time 12 Month Fixed Term with a possibility of an extension Monday – Friday Must have supported Workforce Management Solutions in the past The Project Coordinator is critical to the success of the Pinnacle Project (Workforce Management (WFM) solution for all Wilson Group businesses). This role is responsible for organising, documenting and following up on key deliverables and escalating team issues to the Project Manager or relevant project leadership team members when relevant. The Project Coordinator will play a critical role in supporting the project team in meeting their deliverables, minuting, and confirming meeting outcomes and following up on all outstanding deliverables across all project workstreams. This role is to be on a fixed-term basis starting ideally in March 2025 through to March 2026, this role is part of the organization moving forward. DUTIES & RESPONSIBILITIES: Create and raise purchase orders for all vendor work. Review, reconcile and manage the vendor/partner timesheets and invoices. Maintain and monitor with team leaders the project schedule, identifying any project slippages and critical path impacts and adjustments escalating to the Project Manager when relevant. Ensuring risk and issues are documented and work with the Project Manager and project team on the treatment/response plans. Ensuring traceability of approved decision, designs and changes. Identifying and escalate concerns and escalate opportunities for improvements. Support project team members to escalate issues or risks early to ensure the appropriate risk treatment or response plan can be put in place. Identify opportunities to improve the performance of the project, make observations and contribute to the good management and governance of the project. Document and minute relevant project working group meetings. Contribution and review of project strategies such as Transition, Migration and Cut Over plans. Deliverable tracking including quality review. Contract reviews. Identify, validate and capture additional benefits that are identified throughout project execution. WHO WE ARE LOOKING FOR: In-depth understanding of either Workforce Management systems or the Wilson Group (Desirable). Proven experience managing complex projects and resolving intricate issues. Proficiency in project management methodologies and tools (e.g., Agile, PMBOK, PRINCE2). Excellent administrative and organizational skills, with meticulous attention to detail. Advanced proficiency in Microsoft Word, Teams, and Excel, or a strong willingness to learn new systems. Adaptability, critical thinking, and strong decision-making capabilities. Ability to manage multiple priorities effectively in a dynamic environment. Outstanding communication and interpersonal skills, with the ability to collaborate with both technical teams and non-technical stakeholders. Qualifications: A relevant tertiary qualification or degree in Business, Technology, or Software (Desirable). Demonstrated experience working on complex projects involving significant change and extensive stakeholder engagement.
