Job Description

We are currently recruiting for a Full-time Regulatory Assistant for our Oil and Gas client. This is a 6-month contract with the possibility of extension.The Regulatory Assistant provides high-level administrative support to the Deputy Chief Executive Officers, Senior Executives, Directors and Regulatory Specialists to assist the smooth operations of the Agency.Duties and Responsibilities include, but are not limited to: Calendar management, including ensuring Senior Executives and Directors are fully briefed and prepared for internal and external meetings and aware of timeframes and deadlines of matters that must be attended to. Administration of procurement, including managing travel, accommodation and expense reimbursements. Facilitating meetings, taking minutes, coordinating follow up actions and drafting correspondence, including emails in response to queries and requests. Contribution to the effectiveness and efficiency of the Division / Team including active participation in Team development and planning activities, arranging workshops and coordinating events. Assisting Directors and Regulatory Specialists in the administration of core regulatory processes, processing submissions, drafting and reviewing correspondence, liaising with operators and titleholders in a timely manner, including creating electronic files, managing records, updating and managing the Regulatory Management System and updating the external website. Processing operator incident notification and actions as necessary. Working flexibly across the division, sourcing information and undertaking research and project work as appropriate. Complying with the clients' policies and procedures, including financial, communication and human resources practices, and the Australian Public Service Values, Code of Conduct and Employment Principles. The successful candidate will be able to display: Experience in providing support to senior executives and technical experts, supporting multiple activities simultaneously. Good communication and interpersonal skills, with the ability to liaise confidently with a wide range of internal and external stakeholders. Strong organisational skills, ability to meet deadlines with limited supervision, and manage competing priorities. Demonstrated ability to use initiative, problem solve and react flexibly to changing priorities. Excellent attention to detail, ability to quality assure documents and maintain databases. Experience in coordinating workshops, events, booking travel, expense reimbursements and procurement. Ability to comply with the clients' business policies and processes, including financial, communication, information and human resources practices, the APS Values and Code of Conduct and requests and directions from Deputy Chief Executive Officers and Chief Executive Officer.
