Job Description

Workshop & Administration Support Officer RVTS is currently looking for a Workshop & Administration Support Officer to deliver the RVTS GP Training Program. This is an opportunity for a highly organised and self-motivated individual to use their administrative and event coordination skills to support doctors progressing toward their specialist qualifications in General Practice. In doing so, the successful applicant will be helping rural, remote, and First Nations communities across Australia to get access to GP care. As part of the RVTS program, two face-to-face workshops are held in Australian capital cities each year. These workshops provide procedural skills training to Registrars as they train towards Fellowship. This role provides administrative and technical support to the Workshop team to ensure the efficient, safe, and successful delivery of all RVTS Workshops. This position is full-time, 38 hours a week. Key responsibilities include: Provide administrative support for educational workshops and events, including:Timely and accurate data entry into relevant event management software, Registrar Management Systems, and databases. Assist with the registration process for all attendees, including travel and accommodation arrangements. Assist with session-related document preparation to ensure a high level of data integrity across all workshop documentation and collateral. Assist in the planning and delivery of virtual workshops as required. Assist with attendance and evaluation record management, including development, analysis, and collation of reports. Coordinate and maintain workshop equipment:Assist the Workshop Planning team in identifying and collating equipment requirements for each workshop. Liaise with external agencies and suppliers to procure relevant workshop-related equipment. Take ownership of the organisation, packing, delivery, and maintenance of all workshop equipment. Maintain the workshop equipment register. Provide reception and general administration support:Primary responsibility for managing office phone calls and mail. Monitoring of office kitchen and stationery supplies and orders as required. Provide general administrative support as identified. To be considered for this role, candidates must have the following skills and experience: Excellent word processing and data management skills with a demonstrated ability to accurately record, review, and verify data. Excellent written and verbal communication skills. Effective interpersonal skills with demonstrated experience in building collaborative working relationships with a broad range of stakeholders from diverse cultural backgrounds. Excellent administrative and organisational skills including the ability to plan, prioritise, manage resources, and coordinate multiple concurrent projects. Demonstrated ability to maintain a professional working environment under high pressure and tight deadlines with minimal supervision. Ability to perform manual handling tasks with an understanding of workplace health and safety processes. Demonstrated ability and willingness to learn and develop new skills, processes, technology, software packages, and systems. The ability to work outside of standard hours and travel nationally to attend RVTS Workshops and other events as required. Experience in event management software is desirable.
