This is a permanent, part-time role (28 hours per week). The Administration Officer will support, plan, organise and implement efficient and effective administration systems for the Queensland Centre of Excellence in Autism and Intellectual Disability Health (QCEAIDH). This position will be the first point of call for people with a lived experience of intellectual disability, those on the autism spectrum, their families and carers, staff and visitors and will be integral in promoting a high standard of patient care consistent with the Mater values. Previous experience working in healthcare administration is required. The Queensland Centre of Excellence in Autism and Intellectual Disability Health (QCEAIDH) aims to improve the health and wellbeing of people with intellectual and developmental disability across the life span through clinic, research, and education. Providing reception/telephone service with strong customer focus to people with a lived experience, and visitors ensuring effective communication between various sections within the hospital and the wider health and disability sector. Ability to appropriately manage interactions with families and carers who may be under significant amounts of stress Carrying out administrative functions such as photocopying, filing, mail, etc. Recording information using hospital information technology Entering and maintaining accurate financial record keeping Maintain office processes using various information systems to ensure the recording and filing of various documentation and information Telephone/email/correspondence screening Complete administration processes required for NDIS for allied health clinics including billing and use of docusign Calendar maintenance including room bookings and scheduling team meetings Furniture/equipment/stationery ordering through Mater systems Assist with accurate data entry using electronic systems and databases Use of Kronos (for checking and approvals for direct reports only) - leave management, entering leave requests of team members Assist with compiling reports, arrange meetings and prepare agendas and minutes for all centre meetings Assist with maintenance of patient registry and data entry Assist in organising grant applications, maintain and update clinical and research records. Edit, format and proofread documents for the centre Organise meetings, workshops, and assist with conferences organisation Liaise with appropriate granting bodies personnel and MRI-UQ personnel Assist with preparing recruitment documentation, credentialing and maintenance of staff contact details Maintain a safe working environment complying with Workplace Health and Safety, Equal Employment Opportunity and anti-discrimination policies Comply with and adhere to Mater Health Services policies, procedures, standards and legislation relevant to the role and work area About you Previous demonstrated experience in administrative support in a healthcare setting is compulsory. You will also meet the below criteria: Excellent customer service, communication and interpersonal skills High level administration skills Open and flexible attitude to change in work processes Ability to maintain confidentiality when dealing with patient information Ability to work both independently and cooperatively as a team member Reliable, adaptable, punctual and flexible High level of Microsoft Office experience including Excel, Word and Outlook. Experience with database management.
