Pacific Pines State High School is a rapidly growing high school with enrolments predicted to grow to 2500 students in the next few years. We are seeking an Executive Services Assistant who will provide a high level of confidential executive, customer-focused, administrative, and project support to the Deputy Principals and Corporate Services team at Pacific Pines State High. In conjunction with our families, we nurture our students with a sense of purpose and a clear set of behavioural standards and lifelong values.About The Role As the Executive Services Assistant, you will provide a high level of confidential executive, customer-focused, administrative, and project support to the Deputy Principals and Corporate Services team at Pacific Pines State High.Responsibilities include, but are not limited to: Provide confidential administrative and secretarial support to the Deputy Principals/Principal, including word processing, database and spreadsheet applications, and produce advanced desktop published documents. Oversee the delivery of documentation presented to the Deputy Principals/Principal, schedule appointments, coordinate and organise meetings, conferences, professional development for staff, room bookings, and functions, maintain diaries, take minutes of meetings, and distribute to attendees, and manage the provision of administrative and secretarial support to conferences as required. Maintain effective time management practices for the Deputy Principals/Principal including coordinating diary appointments, prioritising correspondence, preventing unnecessary interruptions, and other calendar events. Coordinate the records management activities, including records of incoming correspondence and Right to Information requests, and monitor the flow of correspondence and provide advice and training in records management to other personnel. Highly desirable skills and experience: Strong communication and interpersonal skills, with a professional and approachable demeanour. Proficiency in Microsoft Office Suite and OneSchool software. A proactive problem-solver with a keen eye for detail. Ability to maintain confidentiality and exercise discretion at all times.
