Temporary opportunity in our growing organisation located on the outskirts of the Melbourne CBD Inclusive and diverse work culture Work in a growing business that invests in its people, customers, and culture The Office Manager is responsible for ensuring that the ADE office & additional facilities run smoothly. The duty spans clerical and operational assistance within reception, administrative, document control, facility management, fleet and equipment management across the business for the Victorian offices. Working in the Group Services team, the position requires a high level of attention to detail, multitasking & strong communications skills. By building strong working relationships with clients and internal stakeholders, you will ensure that all administrative aspects are achieved in a timely and required manner. Your responsibilities will include: Maintaining workforce planning activities, business systems and processes. Preparation for meetings (papers/agendas, audio-visual, water, etc.) Travel arrangements and bookings, i.e., hotels, flights, car hire, and similar. Providing support to Operations and NSW/QLD staff on an ad hoc basis. Ensuring that the office is appropriately maintained and sufficiently resourced. Oversee the general upkeep of building services and safety e.g., liaise with Strata for fire inspections, maintenance, cleaning, etc. Maintain a safe and secure work environment e.g., upkeep First Aid kits and Fire Extinguishers, PPE orders, warehouse stock and use/housekeeping. Office housekeeping, welfare of staff e.g., grocery orders. Coordinate with IT department to equip office and Staff, including new VIC office staff requirements. Onboarding/ Offboarding of staff. Asset Management: equipment management (tracking, maintenance, calibration), maintain asset register. Fleet Management: organise regular servicing on all ADE fleet vehicles, organise quarterly car inspections and repairs as required, monitor fleet bookings and utilising the fleetconnect app to assign trips and run reports. Social events: anticipate, plan & coordinate events e.g.: monthly lunches, EOFY event, Christmas party. Admin tasks such as: coordinating corporate and promotional materials, documents. Other ad hoc tasks as requested. Skills and experience that may be required: Administrative experience in construction or engineering industry (desirable) Excellent verbal and written communication skills. Ability to maintain confidentiality and handle sensitive information with discretion. Strong computer skills in Microsoft Office suite. Flexibility and adaptability to work in a fast-paced and dynamic environment.
