We are looking for an enthusiastic and proactive Receptionist – Administrative Assistant to become a key part of our team. In this role, you will play a crucial part in ensuring smooth daily operations while providing exceptional service to both internal and external stakeholders. Key Responsibilities : Reception – Be the Face of Our Company As the first point of contact, you will be responsible for: Managing all incoming calls, messages, and inquiries, ensuring they are directed efficiently. Greeting and assisting visitors, ensuring a professional and friendly experience while following safety protocols. Handling and logging deliveries, coordinating with relevant team members for distribution. Administrative Support – Keep Things Running Smoothly You will provide essential administrative assistance, primarily to the Finance Department, including: Assisting with reconciliations and invoicing. Efficiently managing shared inboxes, ensuring prompt responses. Handling mail and courier services, including parcel dispatch. Keeping documents and registers up to date, generating reports as needed. Tracking and ordering office supplies to ensure availability. Providing general administrative support to keep daily operations on track. Office Maintenance & Upkeep – Create a Comfortable Workplace Ensuring the office is well-maintained, including managing lighting, air conditioning, and general tidiness. Restocking kitchen and bathroom supplies and ensuring equipment, like the coffee machine, is functional. Overseeing plant care and coordinating waste and recycling collection. Monitoring office equipment, such as printers, and arranging for servicing when needed. Organizing office events, managing catering, setup, and cleanup. What We’re Looking For: A professional and friendly demeanor with excellent communication and phone etiquette. Strong organizational skills with the ability to multitask and stay focused, even during quiet periods. Previous experience in administration or reception; experience in a Finance setting is a plus but not required. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). A proactive attitude with the ability to work independently and take initiative.
