Duties include providing administrative support across the institute, welcoming guests, and greeting people who visit the campus. Also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Key Duties and Responsibilities Act as the primary point of contact for the department assisting with or redirecting Office of the CEO and DCEO, Academic and Operations related enquiries and issues to the relevant staff. Provide ad hoc administration assistance to the Deputy Chief Executive Officer– Operations and Deputy Chief Executive Officer – Academic departments. Undertake routine administrative processes such as collection and distribution of incoming mail and maintaining stationery supplies. Provide high level secretarial and administrative assistance as required. Undertake other duties within the range of skills associated with this designation as directed by the line manager. Meet and greet a diverse range of clients including visiting dignitaries, Ministerial officers, senior military representatives, Federal and NT Government department and the general public. Maintain a high level of confidentiality regarding sensitive information. Ordering uniforms for staff members. Selection Criteria – Essential Demonstrated ability to work effectively in culturally diverse teams within the social, political, and cultural environments of Aboriginal and Torres Strait Islander families, communities and organisations. Demonstrated ability to undertake a range of administrative and secretarial duties and to competently use associated computer applications including word processing, spreadsheets and email. Well-developed oral and written communication skills to interact effectively with staff at all levels in a friendly, courteous and professional manner. Well-developed organisational and coordination skills with the ability to set priorities, work under pressure and meet deadlines while working without direct supervision and contributing as part of the team. Ability to converse confidently with a diverse range of clients, internal and external stakeholders. Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and procedures. Selection Criteria – Desirable Ability to quickly acquire knowledge of the Institute’s structure, functions and objectives. Certificate II in Business Administration or equivalent.
