Your New Organisation: A Federal Government Department Your New Role: APS 6 Office Manager Location: Melbourne ABOUT THE ROLE The Office Manager role is part of the Business Support team within the Corporate Services branch. This division oversees a variety of programs aimed at ensuring registry and office environments are optimized, aligned with the agency's objectives, and provide public-facing, user-friendly services while maintaining a safe and efficient workplace. The section supports both internal and external stakeholders by ensuring compliance with legislative requirements, industry standards, and internal policies and procedures. As an Office Manager, you will be responsible for coordinating accommodation management tasks, overseeing security and risk framework functions, and ensuring that each office location aligns with the agency's policies and procedures to support operational and strategic goals. This role demands a high level of independence, integrity, and the ability to drive positive changes in business practices. PRIMARY RESPONSIBILITIES Support: Provide well-informed advice and guidance to members and staff at a registry in regards day-to-day operations around accommodation, property, facilities, security framework and procedures, and asset management. Administration: Responsible for providing efficient, accurate and timely support to all members and staff relating to best practice in safety and security requirements, work point allocations, and lead role in coordinating special events. Ability to project manage fit out adjustments and refurbishments and to serve as a contact for outside authorities. Stakeholder management: Liaise, negotiate, and build productive working relationships with internal and external stakeholders, external agencies, service providers, suppliers, contractors, and building management representatives. Deliver in house training on security procedures and foster a positive risk culture. KEY CHALLENGES Leading role at a registry providing timely and informed advice and guidance across a full range of facility, security and best practice workplace issues. Managing multiple competing interests and changing priorities in a fast-paced environment, and ability to communicate clearly and effectively. Ensuring compliance with relevant Government policies and legislation regarding property, risk, assets, and security. REQUIREMENTS Strong knowledge of property, facilities, risk, and asset management best practices, with a solid understanding of government legislation and guidelines. Capable of taking a leadership role during service disruptions or emergency situations, with the ability to provide relevant training, coordinate special events, and support diverse requests from Assistant Directors regarding facilities, WHS issues, and risk management policies and procedures. Well-developed managerial and organizational skills, including the ability to prioritize tasks, coordinate meetings, and conduct inquiries and research to effectively manage workforce adherence to policies and procedures. High-level interpersonal, written, and verbal communication skills, with the ability to engage with a wide range of stakeholders, influence positive workplace outcomes, and maintain productive relationships with building management offices. Proven ability to work under pressure, manage office layout and fit-out changes, balance competing priorities, and exercise sound judgment and tact. Strong analytical skills, with the ability to maintain accurate records, conduct asset stocktakes, and provide effective, informed responses to information requests.
