Front Desk Duties: Manage incoming phone calls, welcome visitors, and handle mail and small deliveries, serving as the first point of contact and representing the company professionally. Data Management: Source and enter data into the company CRM system accurately, supervising junior data entry staff as needed to maintain data integrity. Reporting: Compile and report data results to the sales team, assisting in the preparation and presentation of insightful reports to inform decision-making. Coordination: Facilitate meetings and coordinate operations among builders, site managers, drafting, and manufacturing teams to ensure seamless project execution. Inventory Management: Monitor key raw material stocks and manage bulk re-ordering to prevent shortages and support continuous operations. Logistics: Arrange outsourced freight services, verifying costs against cost recovery to ensure efficiency and cost-effectiveness. Travel Arrangements: Organise air travel, accommodation, and car hire for management and the sales team as required, ensuring all arrangements meet company policies and budgets. Research Support: Assist the General Manager with research projects as they arise, providing accurate information and insights to support strategic initiatives. Skills and Experience Required: Technical Proficiency: Demonstrated proficiency in Microsoft Office programs, including Word, Excel, and PowerPoint, with excellent computer literacy and the ability to learn new software applications swiftly. Problem-Solving: Strong analytical and problem-solving abilities, with keen attention to detail to identify issues and implement effective solutions. Communication: Excellent verbal and written communication skills, enabling clear and professional interaction with team members, clients, and stakeholders. Self-Motivation: A proactive and self-motivated individual with a strong work ethic, capable of working under pressure and managing multiple tasks efficiently. Time Management: Exceptional time-management skills, with the ability to set priorities, meet deadlines, and adapt to changing demands.
